Practical Ways Small Businesses Can Start Using AI

Much of the conversation around AI is aimed at large companies. But some of the clearest, fastest returns are available to small businesses — provided you start with a real problem rather than the technology itself.

Start where time is being lost

List the tasks your team does repeatedly: drafting similar emails and documents, summarising information, answering the same customer questions, transferring data between tools. Repetitive, text-heavy work is where current AI tools are strongest. Pick one task, not ten.

Realistic first use cases

  • Drafting and improving business documents — proposals, job descriptions, customer communication — with human review before sending.
  • Customer FAQs — a well-configured assistant can handle common questions and hand the rest to a person.
  • Meeting notes and summaries — recording and summarising discussions so follow-ups don't get lost.
  • Basic data tidy-up — extracting and organising information from documents, forms and emails.

Keep a human in the loop

AI output is a draft, not a decision. Anything customer-facing, financial or legal should be reviewed by a person before it goes out. Businesses that treat AI as an assistant rather than a replacement get better results and take on far less risk.

Mind your data

Be deliberate about what information you put into third-party tools. Avoid pasting sensitive customer or financial data into services you haven't assessed, and prefer tools with clear data-handling policies. A short internal guideline — what may and may not be shared with AI tools — is worth writing early.

Measure before you scale

Run a small pilot for a few weeks and compare honestly: time saved, quality of output, errors caught. If a tool earns its place, expand it; if not, drop it without sunk-cost hesitation.
